How we handle your information

Last updated: January 2024

Look, we get it - nobody really enjoys reading these things, but we think it's important you know what happens with your info when you reach out to us or visit our site. We're a small architecture studio in Vancouver, not some massive corporation, so we keep things pretty straightforward.

We've tried to write this in plain English instead of legal jargon. If something's unclear, just give us a shout at studio@halvronenquintho.info

When you contact us or fill out a form on our website, we might collect:

  • Basic contact stuff - your name, email, phone number, and address if you're interested in working with us
  • Project details - whatever you share about what you're looking to build or renovate
  • Communication records - emails, notes from calls, meeting summaries (we're architects, we document everything!)
  • Technical data - your IP address, browser type, and how you navigate our site (pretty standard web stuff)

We don't collect anything unless you actively provide it or it's automatically gathered through normal website functionality. We're definitely not selling lists of emails or anything sketchy like that.

Here's what we actually do with the info you share:

  • Respond to your inquiries - obviously, if you reach out about a project, we need your contact info to get back to you
  • Provide our services - designing your space, sending proposals, coordinating meetings, the whole architectural process
  • Keep you updated - project progress, scheduling changes, maybe an occasional newsletter if you've signed up for it
  • Improve our website - understanding how people use our site helps us make it better
  • Legal stuff - contracts, permits, compliance with building codes and regulations

We're focused on sustainable architecture, not data mining. Your information stays relevant to your project and our professional relationship.

We take reasonable precautions to keep your information secure:

  • Encrypted email communications for sensitive project details
  • Secure file storage systems with password protection
  • Limited access - only team members working on your project see your info
  • Regular backups so nothing gets lost
  • Proper disposal of old documents and files when they're no longer needed

That said, no system is 100% foolproof. We do our best, but can't guarantee absolute security. If there's ever a breach that affects you, we'll let you know right away.

We don't sell or rent your personal information. Period. But we might share it with:

  • Project partners - structural engineers, contractors, consultants who need info to work on your project
  • Service providers - our web hosting company, email service, cloud storage (they have their own privacy policies too)
  • Legal requirements - if we're legally obligated to share something with authorities or regulatory bodies
  • Building departments - permit applications and code compliance stuff

Anyone we share info with is bound by confidentiality agreements or their own professional obligations. We make sure they understand the importance of protecting your privacy.

Our website uses cookies - those little files that remember you when you come back. Here's what we use 'em for:

  • Essential cookies - keep the site functioning properly, remember your preferences
  • Analytics - help us understand which pages people visit most, how long they stay, that sort of thing
  • Performance - make sure everything loads quickly and works smoothly

You can disable cookies in your browser settings, but some parts of our site might not work as well. Most browsers accept cookies automatically, but you've got control over that.

We don't use advertising cookies or track you across other websites. We're architects, not advertisers.

Under Canadian privacy laws (specifically PIPEDA), you've got some rights:

  • Access - you can ask to see what personal info we have about you
  • Correction - if something's wrong or outdated, let us know and we'll fix it
  • Deletion - request that we delete your info (with some exceptions for legal and contractual obligations)
  • Opt-out - unsubscribe from marketing emails anytime (there's always an unsubscribe link)
  • Portability - get a copy of your data in a usable format

To exercise any of these rights, just shoot us an email at studio@halvronenquintho.info or call us at (604) 555-3847. We'll get back to you within a reasonable timeframe.

We keep your information for as long as it's needed:

  • Active projects - throughout the design and construction process
  • Completed projects - typically 7-10 years for professional liability and legal reasons (standard in architecture)
  • Inquiries that don't proceed - usually deleted after 2 years unless you've asked to stay on our mailing list
  • Marketing consent - until you unsubscribe or we haven't heard from you in a long while

After the retention period, we securely delete or anonymize your data. Some project documentation might be kept longer for portfolio purposes, but we remove identifying information.

Our website might include links to other sites - manufacturer websites, industry resources, project collaborators, that kind of thing. Once you click away from our site, this privacy policy doesn't apply anymore.

We can't control what those other sites do with your information, so it's worth checking out their privacy policies if you're concerned. We try to only link to reputable sources, but we're not responsible for their practices.

We might update this privacy policy from time to time - new regulations, changes in how we work, improvements to our practices, whatever. When we do, we'll update the "Last updated" date at the top.

If there are any major changes that significantly affect how we handle your information, we'll let you know directly via email or a prominent notice on our website.

It's worth checking back here occasionally, especially if it's been a while since you last looked. We promise to keep it as readable and straightforward as possible.

If you've got questions about this privacy policy, want to exercise your rights, or have concerns about how we're handling your information, we're here to talk.

If you're not satisfied with our response, you can also file a complaint with the Office of the Privacy Commissioner of Canada. But honestly, we'd really appreciate the chance to resolve any issues directly first.

A Quick Note on Sustainability

Just like we're committed to environmental consciousness in our architectural work, we're committed to being transparent and responsible with your data. We collect only what we need, keep it secure, and handle it with care. It's all part of our approach to building better, more sustainable relationships - not just buildings.
